The internet is an open communication medium, available to all, at all times. Anyone can view information, send messages, discuss ideas and publish material which makes it both an invaluable resource for education, business and social interaction, as well as a potential risk to young and vulnerable people.

Passwords and Password Security

Passwords are an important part of internet security. It is important to teach users about password security when using an online service such as Widgit Online. Here are some rules that users should know and follow when using Widgit Online.

  • Do not reveal passwords to others. Keep your passwords hidden, even from friends.

  • Always use your own personal passwords to access computer-based services.

  • Change passwords whenever there is any indication that a system or password has been compromised.

  • Do not record passwords on paper.

  • Only disclose your personal password to authorised ICT support staff when necessary, and never to anyone else. Ensure that all personal passwords that have been disclosed are changed once the requirement is finished.

  • Passwords must contain a minimum of five characters and should be difficult to guess.

  • Usernames and passwords for staff and students who no longer use Widgit Online should be removed or their profile locked by the administrator immediately.

Display names and Usernames

Widgit Online uses usernames as part of the user’s public web address. To ensure that the user’s full name is kept private, please use a username that will not disclose this information.

e.g. Full name = Robert Jones                
Possible usernames:

  • rjones
  • robert
  • robertj
  • rj1
  • rja

It is the responsibility of the account administrator to ensure that usernames do not disclose sensitive or confidential information.

Publishing

An Individual account will automatically have the ability to publish their documents.

In a Group account, Users have the ability to publish their documents if an Administrator or a Manager has given them publishing rights.

When published, these documents are publicly visible on the internet.

Administrators and Managers need to carefully consider if publishing permission is given to certain Users, especially children. Widgit recommends that only Administrators or Managers should have publishing permission within a school environment.

It is the responsibility of the account administrator and managers to ensure that users are not publishing inappropriate documents. This includes inappropriate images, text and sensitive/confidential information such as full names, birthdays, addresses etc.

Photographs and consent

Digital images are easy to capture, reproduce and publish and, therefore, misuse. It is important to remember that it is not always appropriate to take or store images of any member of the community or public, without first seeking consent and considering the appropriateness.

Photographs can be uploaded to Widgit Online and placed into documents. These documents are private to the user/group unless the User has the permission to publish their documents. When published, these are publicly visible on the internet. Administrators and Managers need to carefully consider if publishing permission is given to certain Users, especially children. Widgit recommends that only Administrators or Managers should have publishing permission within a school environment.

It is the responsibility of the account administrator and managers to ensure that data protection laws are adhered to when publishing Widgit Online documents.

It is the responsibility of the account administrator to ensure that parental consent has been granted for any photograph that is used within Widgit Online.

Widgit Monitoring

Images
Widgit monitors the images that are uploaded to Widgit Online. If inappropriate images are detected, or there is a serious problem with an account then the account will be locked. If an account has been locked, Widgit will contact the User or the group's Administrator.

Copyright
Widgit does not monitor for breaches in copyright of the uploaded images. This is the responsibility of the account Administrator.

Written content
Widgit does not monitor documents for inappropriate written content. This is the responsibility of the account Administrator.
